This privacy policy explains what personal information we collect and how we use it when you visit a Université Laval website.

It does not apply to the websites of Université Laval partners or other third parties that are hosted on a server with an ulaval.ca address.

When and why we collect your personal information

We collect your personal information in a variety of situations.

Requesting information
When you use an electronic form to request information about programs, activities, or services provided by Université Laval, we use your information to respond to you.

This information may include:

  • Your first and last name
  • Your contact information
  • Your status at Université Laval

Subscribing to newsletters
When you subscribe to a newsletter, we may collect information such as:

  • Your first and last name
  • Your contact information
  • Topics that interest you

This information is used to offer you personalized content that matches your interests.

This information may be shared with one of our service providers for newsletter management. In some situations, your information may be shared with companies located outside Québec.

You can unsubscribe from a newsletter at any time.

Registering for events or training activities
When you register for an event or training activity, we use the information you provide to manage your registration and to deliver the activity.

This information may include:

  • Your first and last name
  • Your contact information
  • Your payment information

In some cases, we may also use your information to invite you to participate in another activity or event that may be of interest to you.

This information may be shared with one of our service providers for registration management or activity delivery. In some situations, your information may be shared with companies located outside Québec.

Browsing a Université Laval website
When you access a Université Laval website, the following information is collected automatically:

  • Your IP address
  • The name of your operating system and browser, as well as the language you use
  • The address of the site from which you accessed an Université Laval website<
  • The date and time of your visit

This information is used for statistical and website improvement purposes. It is not used to identify you.

Enabling cookies
We use cookies to collect data that lets us understand how people reach and use our site and how we can improve their experience. We also use the data for analysis purposes, to optimize our online platforms, and to retarget advertising if necessary.

Some cookies are essential to the security and operation of the sites, so they cannot be disabled.

Accessing a secure site
Your UL login (IDUL) may be required to access certain Université Laval sites. It is only used to give you access to pages reserved for Université Laval members and not for any other purpose.

Who has access to your personal information

The following may have access to your personal information.

Université Laval staff, if necessary
Only authorized staff members have access to your personal information. They have access only to information that is strictly necessary for the performance of their duties.

Some service providers, if necessary
Certain service providers may have access to your personal information when necessary, like if data from a piece of software we use is stored on a provider’s server.

Our suppliers must limit their access to only the information needed to provide the service. They may not use the information for any other purpose or share it with third parties without our authorization.

How your personal information is protected

We have implemented certain measures to keep your personal information confidential.

Organizational measures
We have established the roles and responsibilities of staff members throughout the processing cycle of your personal information.

We employ security safeguards to protect your personal information from privacy incidents, including:

Rules for use, storage, and destruction
We use your personal information only for the purposes described in this policy.

We keep it only for as long as is necessary for these purposes, subject to the durations in Université Laval’s retention schedule (PDF, in French).

Once those durations end, your personal information will be destroyed or anonymized, as applicable.

Your rights

The law grants you several rights regarding the personal information Université Laval holds about you.

Refusing or withdrawing consent
You may refuse to consent to any optional use or disclosure of your personal information.

You may also withdraw your consent at any time.

Accessing or correcting your personal information
You can consult the personal information we hold about you and obtain a copy of it.

If you notice a mistake or if you feel that you have not given permission to store your information, you may request that it be corrected or destroyed, as applicable.

To exercise these rights, please submit a request to the privacy officer.

Filing a complaint
You may file a complaint if you believe that Université Laval is not following this policy or if you are otherwise concerned about the management of your personal information held by us.

The procedure for handling privacy complaints stipulates that such complaints must be addressed to the Civility Office (linked pages in French).

This policy has been in force since June 13, 2024.
